1. Who We Are

This Privacy Policy explains how Clipcowork handles your personal data when you use our website and video-processing service. Clipcowork is the controller of the personal data described here. You can contact us about privacy at clipcowork@gmail.com.

If an EU or UK representative is required under applicable data-protection law, we will appoint one and identify them here before general availability; in the meantime, EU and UK users can reach us at clipcowork@gmail.com.

2. Information We Collect

We collect the following categories of information:

  • Account and identity data — handled through our authentication provider (Clerk): your user ID, email address, and basic profile details used to sign you in, plus plan and billing-status metadata.
  • Billing data — handled through our payment provider (Stripe): your name, billing address, optional company name and VAT or business tax ID, and references to your customer and subscription. Card details are processed by Stripe; we do not store full card numbers.
  • Uploaded content — the video and audio files you upload, and the clips, dead-air outputs, and thumbnails we generate from them.
  • Audio and speech content — an automated, word-level transcript of the speech in your video. The transcript is stored in our database, used to generate clips and captions, and analyzed by an AI provider.
  • Visual and face analysis — we automatically detect the location of faces in your video frames so we can reframe clips to a vertical 9:16 format. This is used only for framing; it is not facial recognition and is not matched against any identity database. We may retain a derived face-position metric per clip as diagnostic data.
  • Job and usage data — filename, file size, duration, mode, processing settings, status, timestamps, error information, a short file hash used to detect duplicate uploads, processing cost metrics, and your credit-transaction history.
  • Technical data — when you use the service, our infrastructure providers necessarily process technical information such as your IP address and connection details to deliver and secure the service.

3. How We Use Information and Our Legal Bases

We use your information to authenticate you, process your videos, show your dashboard, generate clips and captions, run processing queues, take payment and manage subscriptions and credits, prevent abuse and fraud, provide support, monitor and debug the service, estimate costs, and comply with our legal obligations.

Where the GDPR or similar laws apply, our legal bases are: performing our contract with you (to provide the service and handle billing); our legitimate interests (to secure the service, prevent abuse, and improve reliability); your consent (where we ask for it, such as for any non-essential cookies); and compliance with legal obligations (such as accounting and tax).

4. AI Processing

Transcription and clip selection are performed by automated AI systems, including third-party AI providers (see "How We Share Your Information"). These systems can make mistakes, so you should review outputs before relying on them. We do not make decisions that produce legal or similarly significant effects about you solely by automated means.

5. How We Share Your Information

We do not sell your personal data. We share it only with the service providers (subprocessors) we use to run the product, and only as needed to provide the features you use:

Our Thai-language transcription uses an open model whose weights we obtain from Hugging Face; that model runs on our own compute, and your content is not sent to Hugging Face. We may also disclose information where required by law or to protect the rights, safety, and security of our users and the service.

6. International Data Transfers

Our providers are primarily located in the United States, so using Clipcowork involves transferring your personal data internationally, including from the EU and UK to the US. Where required, we rely on the safeguards offered by these providers, such as Standard Contractual Clauses and their data processing agreements. Contact us if you would like more detail.

7. Data Retention

Your video files, generated outputs, and the verbatim transcript of your spoken content are scheduled for automatic deletion after a per-plan retention period measured from upload: about 3 days on Free, about 15 days on Starter, about 1 month on Creator, and about 3 months on Pro and Studio. Cleanup runs periodically, so deletion may occur somewhat after the retention period ends. You can also delete any item yourself at any time, or close your account.

After media is deleted, we retain a record of the job — including the original filename, file size, duration, a content-fingerprint hash, processing and cost metrics, billing identifiers, and your credit-transaction history — so that your dashboard, support, abuse prevention, and accounting remain accurate.

We keep these records for as long as needed for those purposes or to meet our legal obligations (for example, billing and tax records for the period required by law), and then delete or anonymize them. You can ask us to delete your account and associated data at any time (see "Your Rights and Choices").

8. Your Rights and Choices

Depending on where you live, you may have some or all of the following rights over your personal data:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate data.
  • Erasure — ask us to delete your data and account.
  • Portability — receive certain data in a portable format.
  • Restriction and objection — ask us to limit or stop certain processing, including processing based on our legitimate interests.
  • Withdraw consent — where processing is based on consent, withdraw it at any time.
  • Complain — lodge a complaint with your local data protection authority.

California residents have the right to know, delete, and correct personal information, and to opt out of its sale or sharing. We do not sell or share personal information as those terms are defined under California law, and we will not discriminate against you for exercising your rights.

You can delete individual videos yourself from your dashboard once a job has finished processing. Full account and data deletion is handled on request — there is no self-serve "delete account" button yet — so to delete your account, or to exercise any other right above, email clipcowork@gmail.com. We will respond within the time required by applicable law.

9. Security

Uploads go directly to secured object storage using short-lived signed URLs, and data is transmitted over encrypted connections (HTTPS/TLS). API requests require an authenticated session token, and your dashboard data is scoped to your signed-in account so other users cannot access it.

Authorized staff and administrators may access account data, uploaded content, and processing metadata where necessary to operate the service, provide support, investigate abuse, and meet legal obligations.

No internet service can be perfectly secure, but we use practical controls to reduce risk and limit access. If a data breach affects your personal data, we will notify you and the relevant authorities as required by law without undue delay.

10. Cookies and Local Storage

We use strictly necessary cookies and browser local storage to keep you signed in (set by our authentication provider) and to remember basic app state. These are required for the service to work.

We do not currently use third-party advertising or analytics cookies. If we add non-essential cookies or analytics in the future, we will ask for your consent first where the law requires it.

11. Children’s Privacy

Clipcowork is not directed to children. You must be at least 18 years old to use the service, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact clipcowork@gmail.com and we will delete it.

12. Changes to This Policy

We may update this Privacy Policy as the product and our practices change. The latest version will be posted here with an updated date, and we will provide additional notice of material changes where required.
